KeyCRM integration & automation

Ukrainian CRM that pulls orders from your site, marketplaces and chat apps into one pipeline

KeyCRM pulls orders from your website, marketplaces and messenger chats into one place. It already has built-in links to Nova Poshta, Checkbox and several telephony providers — they start working right after we connect them. Where a ready-made link doesn't exist, we build one ourselves, using the way KeyCRM lets outside systems exchange data with it.

What we connect

  • Telephony — calls from Binotel, Kyivstar, UniTalk and Ringostat show up straight in the deal card, with who called and how long the conversation lasted.
  • Checkbox — the receipt stays attached to the order, no need for the cashier to copy data by hand.
  • Marketplaces — orders from Rozetka, Prom, OLX and Kasta land in the same pipeline as orders from your website.
  • Nova Poshta — delivery status is visible right in the order card, no need to switch to another dashboard.
  • Messenger chats — conversations from Instagram, Viber and Telegram land in the same screen as orders.
  • Custom bridges where no ready link exists — the moment an order's or payment's status changes, it's pushed straight to your warehouse system, Google Sheets or your own assistant.
  • Automation rules inside KeyCRM — up to 200 scenarios per account, firing instantly or delayed by up to 30 days.
  • Access to order, customer, company, product and stock data, files and payments — for custom reports and syncing with a warehouse system or 1C.

Automation scenarios

01

An order comes in from Rozetka or Prom

Before a manager checks each marketplace account separately and copies orders by hand.

After the order lands straight in the same KeyCRM pipeline as website orders — no manual transfer.

02

A call comes in through Binotel

Before the manager writes down who called and why in a separate notepad.

After the call history shows up right in the customer's card — thanks to the ready-made KeyCRM-Binotel link.

03

Payment status changes

Before the warehouse finds out an order is paid only when the manager remembers to mention it.

After the moment payment status changes, KeyCRM passes that information straight to the warehouse or a Telegram bot — no calls, no reminders.

04

A payment is confirmed at checkout

Before a cashier punches the receipt by hand and copies order data into the till.

After Checkbox is on KeyCRM's list of ready-made links, so the register connects to the order flow instead of being built from scratch.

05

A lead goes quiet in the pipeline

Before a stalled deal is noticed only during a manual review of the pipeline.

After an automation rule with a delay of up to 30 days moves the card or creates a task for the manager on its own.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • API authentication uses a Bearer API key created in CRM settings, not OAuth.

  • The API limit is 20 requests per minute per key; exceeding it returns a 429 Too Many Requests error.

  • The Open API covers orders, funnel/deal cards, customers, companies, products and stock, files, payments and call history.

  • Webhooks in KeyCRM are outgoing only and are set up through automation; they cover exactly three events: order status change, order payment status change, funnel card status change.

  • KeyCRM makes 3 delivery attempts for each webhook and waits for a 200 response from the receiving server; otherwise it stops sending.

  • The REST API and all native integrations are part of KeyCRM's single plan — there's no separate paid tier just for API access.

Limits

Up to 200 automation rules and 25 warehouses per account. The API limit is 20 requests per minute per key. The monthly cap on orders, leads and chat messages depends on the plan.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

Can KeyCRM automatically notify another system when something changes?
Yes, but only in one direction: KeyCRM can tell an outside system about its own changes, such as an order status change. It can't listen for commands coming the other way — to push data back into KeyCRM, we write it in from our side.
What exactly makes KeyCRM notify another system?
Three events: an order status change, an order payment status change, and a funnel card status change. If the receiving side doesn't respond, KeyCRM tries two more times.
Can we connect our own Asterisk-based phone system?
There's no direct way to plug in a custom Asterisk system — KeyCRM only shows call history for it. For live telephony we use the ready-made links: Binotel, Kyivstar, UniTalk or Ringostat.
How many automation rules can we set up in KeyCRM?
Up to 200 rules per account, no coding needed. Each one can fire right away or be delayed by up to 30 days.
