n8n integration & automation

We build scenarios in the client's n8n — on their server or in n8n Cloud — that link the CRM, mail, messengers and AI so routine handoffs between systems run without people.

n8n is a workflow automation tool with built-in AI features: a scenario is a chain of nodes where each node waits for an event, takes data from one system, transforms it and passes it to the next. Unlike hosted-only alternatives, n8n can run on the company's own server, so the data and the scenarios stay in-house, or in n8n Cloud when the company prefers not to run a server. We build and maintain scenarios in the client's n8n: a new lead in the CRM starts a chain that enriches the contact, writes to the team's chat and creates a task; a request from a system without a ready node is received by n8n directly and routed to the right place; an AI step reads a letter or a document and fills the CRM fields. Where a ready-made connector exists, we use n8n's node library; where it does not, we connect through n8n's universal request step. The scenarios are saved in the client's n8n and belong to the company.

What we connect

  • We agree where n8n will live: on the company's own server, on ours, or in n8n Cloud — and which systems the scenarios must connect: CRM, mail, messengers, spreadsheets, AI.
  • If n8n is not yet installed, we set it up on the chosen server and secure it: its own address, encrypted connection, access for the company's people; the company gets the owner account.
  • We describe each process as a scenario: what starts it, what data goes in, what checks and branches there are, where the result goes — in plain language, before a single node is placed.
  • We connect the systems inside n8n with the company's own accesses: the CRM, the mailbox, the messenger bot, the spreadsheet, the AI model — the keys are stored in n8n's credentials store, not in our hands.
  • We build the scenarios from the node library, add n8n's own receiving step for systems that have no ready node, and run each scenario on test data in the editor before publishing it.
  • We publish, watch the first real runs in the executions log, set up error alerts to the team's chat, and hand over a short description of each scenario so the company can change it without us.

Automation scenarios

01

A new lead starts a chain instead of a checklist

Before after every new lead the manager looks up the company, writes to the team chat, creates a task and sends a first letter — by hand, and sometimes not at all.

After the scenario in n8n catches the new lead, finds the company's site and size, posts a line to the team chat, creates the task in the CRM and puts a first-letter draft in the manager's mailbox; the manager only presses Send.

02

A system without a ready connector still gets connected

Before the company's niche booking tool or a local delivery service has no connector anywhere, so its data is retyped.

After n8n receives the tool's messages directly through its own receiving step, or asks the tool on a schedule through the universal request step, and passes the data on to the CRM like any other source.

03

An AI step reads documents and fills the CRM

Before incoming requests arrive as letters with attached specifications, and a person extracts the quantities and deadlines into the CRM.

After the scenario takes the letter and the attachment, an AI step pulls out the items, quantities, deadline and delivery address, writes them into the deal fields and marks anything it was unsure about for a person to check.

04

Moving from a hosted automation tool to the company's own n8n

Before dozens of scenarios live in a hosted service, client data passes through it, and the company cannot look inside.

After the same scenarios are rebuilt in n8n on the company's server, the data stays in-house, every run is visible in the executions log, and the company's own people can open and edit any scenario.

Limits

n8n is a tool, not a service that runs itself: a self-hosted installation needs a server with Docker, updates, backups and someone watching the executions log — we take that on or hand it over to the company's administrator, and this is agreed before the work starts. The edition a self-hosted n8n runs in is set by a licence key, and the exact features per plan and edition change over time; in the Community edition only the instance owner and the author of a scenario can open it and its credentials, so shared team access to scenarios needs a paid edition or n8n Cloud, and we check the current n8n page before promising a feature. A published scenario's receiving address is registered only when the scenario is published, and in production the data of a run is seen in the executions tab rather than in the editor. n8n Cloud has its own terms set by n8n, and some of its management features are unavailable during the trial period. Every outside system keeps its own limits on how often it may be called, and a scenario that fires thousands of times a day has to respect them.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

Why n8n and not Zapier or Make?
Because n8n can run on the company's own server: client data does not pass through a third party, the scenarios are stored in-house and the company's people can open any of them. Zapier and Make are hosted only and are the right choice when the company wants nothing to maintain; we work with all three and say which fits before building.
Do we need our own server?
Not necessarily. n8n runs in n8n Cloud without any server on the company's side, or on the company's server, or on ours. The choice depends on where the data may live and who will look after the installation; we go through it together before the work starts.
Can our own people change the scenarios later?
Yes. Scenarios are built in n8n's visual editor, and each one comes with a short description of what starts it, what it does and where the result goes. The company gets the owner account, so nothing depends on us. Whether several people can share the same scenarios depends on the n8n edition.
What happens when a scenario fails at night?
n8n records every run, successful or not, in the executions log. We add an error scenario that sends a message to the team's chat with the name of the failed scenario and the step where it stopped, and, where it is safe, retries the run. Nothing is lost silently.
